Sunset retires inactive members on your XenForo forum without deleting them. Quiet accounts move through five tiers as time passes, and at each tier Sunset runs the actions you choose: an email, hiding the profile, clearing profile fields, and at the end releasing the username. Every change before that last step is saved and reversed when the member logs back in, so your forum stays tidy and nobody who returns finds their account gone.

Features

Five tiers
  • Every member sits in one tier: Active, Warned, Soft sunset, Hard sunset or Released
  • The tier comes from days since the member was last active, against four thresholds you set (default 180, 365, 730 and 1825 days)
  • Fast-track members who have never posted: they age against their own shorter thresholds (default 60, 120, 240 and 600 days). Off by default
  • Accounts only move deeper on their own. Moving back up happens when the member returns or an administrator moves them
  • Off after install: set it up, preview a run, then switch on Enable evaluator

Eligibility
  • Never sunset staff, on by default
  • Minimum account age, so new members are left alone (default 90 days)
  • Exclusion criteria: any XenForo user criteria, including custom user fields, matched on all or on any
  • Never sunset this account: exempt one member from the user editor
  • Accounts with a bouncing email address can age too, without being sent any email. Off by default

Policies
  • Each tier runs the policies you assign to it on the Policies page
  • Email member and Email admin, with your own subject and body per tier, translatable through phrases
  • Deindex profile: hide the member's online status, their profile page from other members, their profile from search engines, or any mix. Their posts stay where they are
  • Anonymize field: clear about, signature, location, website, custom title and custom profile fields, after saving the original
  • Release username: rename the account and return the old name to the pool. The only policy that cannot be undone, so it only runs at the Released tier
  • Reconcile members: after changing the policies, bring members already in a tier in line with the new set

Reminders
  • One email when a member enters a tier, plus reminders while they stay there, at the days you list for each tier
  • Members can opt out under their preferences with "Receive emails before long inactivity affects my account"
  • Members in the hard and released tiers are skipped by XenForo's activity summary email, and it resumes if they return

Welcoming members back
  • Choose a reactivation model per tier: Auto, Auto + notify, Request, Manual only or Partial
  • Auto restores everything at login, and Auto + notify also emails you
  • Request holds the login until a moderator approves it, through the approval queue or the Reactivation requests page
  • Manual only turns the login away and points the member to your contact page
  • Partial logs the member in with their profile restored and their personal details still anonymized
  • After a rejected request, allow another one at once, block further requests, or allow one after a cooldown

Saved originals and retention
  • Every cleared value is kept until the member returns, and put back when they do
  • Saved values are deleted for good after a retention window: PII snapshot retention (default 365 days) and Profile snapshot retention (default 730 days)
  • Audit log retention, default 2555 days

Username release
  • A username is released after a member has spent the Hard to released window in the hard tier (default 730 days)
  • Released usernames are recorded, and nobody can register or rename to one during the lockout (default 30 days)
  • Confirm username releases manually: each release waits on the dashboard until you approve it. Off by default
  • Released usernames page: every released name, its original owner, when it was released and who has claimed it since

Testing before it runs
  • Simulator: try any set of thresholds against your member list, see how many members would land in each tier next to today's counts, and apply them when you are happy
  • Preview next run: see exactly what the next evaluator run would do, without changing anything, and export it as CSV

Managing members
  • Dashboard with members per tier, recent activity and pending releases
  • Sunset tab in the user editor: the member's tier, saved values and history, with Transition now and Reactivate now, an exemption, their own reactivation model and an admin note
  • Filter and search the AdminCP user list by tier, and move a group of members to a tier with batch update
  • Member is in Sunset tier: a user criterion for notices, trophies and user group promotions
  • Members with View Sunset tier see a member's tier on their profile and member card

Reporting
  • Audit log of every tier change, policy, reactivation, release and reminder, with filters and CSV export
  • Tier changes, reactivations, username releases and reminders appear in XenForo's statistics

Permissions and options
  • Handle sunset reactivation requests: approve or reject reactivation requests on the front end. Not granted on install
  • View Sunset tier: see members' tiers on profiles and member cards. Not granted on install
  • Evaluator schedule: daily or weekly (default weekly)
  • Maximum members per run: default 500, and the next run carries on where the last one stopped
  • Admin notification email: defaults to your board's contact address

Other features
  • REST API, super user key only: read a member's tier, list members by tier, and reactivate a member
  • Six webhook events: tier change, reactivation, request made, request approved, request rejected and username released
  • Other add-ons can add their own policies, which then appear on the Policies page

FAQ

Does it delete members or their posts?
No. Sunset never deletes an account, a post or any other content. The furthest it goes is releasing the username, which renames the account.

Will it start changing accounts as soon as I install it?
No. The evaluator is off after install. Set your thresholds and policies, check the Simulator and Preview next run, then enable it.

What happens when a member comes back?
That depends on the reactivation model for their tier. By default, warned members are let straight back in, soft sunset members are let in and you get an email, hard sunset members wait for approval, and released members are logged in with their personal details still anonymized.

How does it decide a member is inactive?
By the days since their last activity on the forum. XenForo does not record logins separately, so a member who logs in and browses counts as active. Post count does not affect the tier unless you turn on the fast track for members who have never posted.

Is there branding, and can I remove it?
Yes, a small footer credit. Removing it is free: switch it off with the Remove branding option in [MC] Core Library.

What happens when I uninstall?
Sunset's tables, saved values and audit log are removed. Changes already made to accounts stay as they are, so reactivate any members whose details you want restored before uninstalling.
